A new survey called 'Great Reset: Empowering Employees to Manage Their Time' by Protime UK has found that that the average full-time employee loses 7.5 hours per week to unnecessary "productivity killers".

Given the UK's long standing problems with poor productivity, this is a matter of enormous concern.

The research found that the top "productivity killers" were emails marked as urgent that don't require immediate attention (29%), chats with colleagues that are not work related (28%), and "desk drop-ins" (21%). Others included unnecessary meetings and being asked to join a telephone discussion at short notice.

Two-thirds of the respondents reported that they encounter disruptions on a daily basis, which range from 30 minutes to 2 hours in duration, undermining their productivity in the process. In terms of the impact, 46% stated that the tasks they are engaged in take longer to complete than originally anticipated due to the disruption, and 23% have to put in unpaid overtime to make up for the time lost. Just 12% stated that they feel able to take steps to avoid the disruption.

37% of the respondents reported that these disruptions increased their stress levels and 21% stated that they were demotivating.

The Main Disrupters

The research conducted by Protime UK identifies some of the main disrupters that unnecessarily undermine productivity levels. However, the issue of productivity killers has been the subject of much research over the years. So what does that body of research suggest are the main productivity killers?

The main causes include the following:-

  • Unnecessary Meetings: Excessive and unnecessary meetings are a significant productivity killer. Whilst meetings are essential for collaboration and decision-making, too many of them can become counterproductive. Employees often find themselves in back-to-back meetings with little time left for actual work. This constant disruption hampers deep work and focus, leading to decreased efficiency. To combat this, organizations should evaluate the necessity of each meeting, limit their duration, and ensure they have a clear agenda. By adopting more efficient communication methods such as emails or collaborative tools, businesses can minimize the time spent in unproductive meetings.
  • Email Overload: Email overload is another major productivity killer. The average worker spends a significant portion of their day managing their inbox, which can be overwhelming and distracting. Constantly checking and responding to emails interrupts workflow and prevents employees from concentrating on important tasks. To address this productivity killer, companies can implement email management strategies such as setting specific times for checking emails, using filters to prioritize messages, and encouraging concise communication. Additionally, adopting alternative communication platforms like instant messaging or project management tools can reduce reliance on email and streamline internal communication.
  • Workplace Distractions: Workplace distractions are ubiquitous and detrimental to productivity. Open-plan offices, while fostering collaboration, often contribute to noise and interruptions that hinder concentration. Colleagues stopping by for casual conversations or background noise from office equipment can disrupt workflow and lead to frequent task-switching. To mitigate workplace distractions as a productivity killer, companies can create designated quiet zones or provide noise-canceling headphones for employees who need focused work time. Encouraging a culture of respect for personal space and implementing policies that limit non-essential interruptions can also help maintain a productive work environment.
  • Poor Time Management: Poor time management is a common productivity killer that affects productivity across various industries. Many employees struggle with prioritizing tasks, leading to procrastination and missed deadlines. Inefficient use of time can result from unclear goals, lack of planning, or an inability to delegate effectively. To improve time management skills, individuals should set clear objectives, break tasks into manageable chunks, and use tools like calendars or task lists to stay organized. Social media, news websites, and instant messaging can all pull attention away from work, with workers spending a portion of their workday on non-work-related sites. To tackle this issue, organizations should implement digital well-being programs that promote mindful use of technology. Tools like website blockers and focus-enhancing apps can also help minimize distractions. Encouraging regular breaks away from screens can further aid in maintaining concentration and productivity.
  • Procrastination: Delaying tasks can escalate stress levels and result in rushed, subpar work. The reasons behind procrastination vary but often include fear of failure, lack of motivation, or feeling overwhelmed by the task at hand. Combatting procrastination starts with recognizing its root causes. Time management strategies, breaking tasks into smaller, manageable parts, and setting clear deadlines can help. Additionally, fostering a supportive work environment that encourages accountability can motivate employees to stay on track.
  • Poor Work-Life Balance: An unhealthy work-life balance can become a major productivity killer. Long working hours and the omnipresence of work-related technology blur the boundaries between professional and private life. This imbalance can lead to burnout, decreased job satisfaction, and lower overall productivity. Organizations must prioritize policies that promote a healthy work-life balance. Flexible working hours, remote work options, and encouraging employees to take regular breaks and vacations can make a significant difference. Supportive leadership and a culture that values personal time are also critical in ensuring employees remain motivated and productive.
